Filing Cabinet Lock Service in Newmarket

This is a small job that stops an office dead. The cabinet holding six years of client files is locked, the person who had the key retired in 2019, and somebody needs a document by Thursday. Or a desk pedestal locked itself when it was slammed shut and the little key that came with it in 2011 is gone.

A filing cabinet lock is not a serious security device and it was never meant to be. It is a cam lock: a small cylinder, usually 16 or 19 millimetres in diameter, with a flat metal arm on the back that swings to catch a bracket. That arm is what actually holds the drawer, and it is the reason these are so easy for a locksmith to deal with and so completely impossible for a member of staff with a paperclip.

Most of these calls are done in twenty minutes. The cabinet gets opened without damage, and if the lock is worn or the key is simply lost forever a new one goes in for the price of a takeout lunch. We do these in offices all over Newmarket, usually while we are on site doing something larger.

Opening a cabinet with no key

There are three ways in and we try them in order of least damage.

Picking or impressioning. Cam lock cylinders are simple — often four or five wafers rather than pins — and they open quickly for someone who does this regularly. Impressioning produces a working key from the lock itself, which is useful when the customer wants the original lock kept and a key made rather than the whole thing replaced.

Bypass. Many filing cabinets can be opened by reaching the locking bar behind the drawer face, either through the gap above the top drawer or by removing the top of the cabinet. On a lot of two-drawer units the top lifts off with four screws. Nothing gets damaged and the existing lock is untouched.

Drilling. The last resort, and honestly it is not much of a defeat on a cam lock because the replacement costs so little. The cylinder is drilled, the cam is turned, and a new lock goes straight into the same hole. On a decent office cabinet the face is undamaged because only the cylinder is removed.

The one thing we will ask for is some evidence the cabinet is yours or that you are authorised to open it. That is standard for any locksmith and it protects everybody. A business card, a lease, or being the person who let us into the office is normally plenty.

Replacing a cam lock and how to measure one

If you want to order a replacement yourself before we come — or just understand what the technician is doing — there are three measurements that matter and nothing else.

Barrel diameter. Almost always 16 mm or 19 mm. Measure the round hole the lock sits in, not the decorative bezel on the front.

Barrel length. Measured from the back of the front flange to the end of the threaded barrel. This has to match the thickness of the drawer face or panel the lock passes through, plus a little for the nut. Get it too short and the nut will not reach; too long and the cam sits too far back to catch.

Cam shape and offset. The flat arm on the back comes straight, cranked or offset, in several lengths, and it can usually be swapped for another. It is the part that decides whether the lock actually engages the bracket, and it is the part people get wrong when ordering online.

Then there is rotation. Some cam locks turn 90 degrees and some turn 180, and some have a removable core that only comes out at a specific position. Standard office furniture is generally 90 degrees clockwise to lock. None of this is complicated, but there are enough variables that ordering blind from a photo goes wrong about half the time, which is why we carry a range on the truck.

Desks, credenzas and keyed-alike sets

Office furniture locks are a category people never plan for and always end up needing. Desk pedestals, credenza sliding doors, lateral file cabinets, tambour door units, stationery cupboards, reception counters with a till drawer. All of it uses variations on the same small cam lock, plus a few specialist types like plunger locks on sliding glass doors and gang locks that secure a whole column of drawers at once.

The single most useful thing we do for offices is keying it all alike. A typical Newmarket professional office has somewhere between six and fifteen furniture locks scattered around, every one on a different key, most of those keys long gone. Converting the lot to one key takes an hour or two and permanently ends the drawer full of unlabelled keys that every office has.

Where different levels of access are needed, that works too. Reception and general storage on one key, the records cabinet and the manager credenza on another, with the manager holding both. It is the same logic as a restricted key hierarchy on the doors, just at a smaller scale and a much smaller price.

Records, privacy and what a cam lock is really for

Medical, dental and legal offices in Newmarket have obligations about how client records are stored, and those obligations do not disappear because the file is paper. Practices governed by Ontario health privacy legislation, and law firms subject to their own professional record-keeping rules, are expected to take reasonable steps to secure personal information against unauthorised access. Your regulator or your privacy officer is the authority on exactly what that means for your practice — we fit hardware, we do not interpret your obligations.

What we can tell you is what the hardware honestly does. A standard cam lock keeps out casual access. It stops a curious cleaner, a wandering patient, a delivery driver left alone in reception for two minutes. It will not stop a determined person with ten minutes and a screwdriver, and nobody should pretend otherwise.

If records genuinely need to be secure rather than merely closed, the answer is a locked room rather than a locked drawer — a records room with a proper commercial lock, and ideally a log of who enters. That is a door lock conversation, sometimes an access control one. Cabinet locks are the last layer, not the first.

The practical middle ground most practices land on: records room on a restricted key or a fob reader, cabinets inside it keyed alike so staff can work, and a written record of who holds the room key. That is proportionate and it is affordable.
